How to save 10+ hours a week with a VA
I get it! I honestly do!
It takes a lot of time, energy and effort to work out what you can delegate to a VA, let alone the time it takes to go through it with them.
So, I’m here today to give you some ideas on how you can start this journey. Because although what I said is true, the reality is that the longer you take to start, the longer you will struggle by doing everything yourself.
There is an initial time investment, and of course there is the financial investment, but then… there’s the freedom.
The freedom to focus on income generating activities, the freedom to scale your business and work on long term goals, the freedom to create the life balance that you were longing for when you launched your business, the freedom to choose your priorities.
So, are you ready?
Here are 5 ways you can save 10+ hours per week by delegating to a VA
Delegate your administrative tasks
Let your VA schedule appointments, organise your calendar, format your documents or blog posts. Show them how you like your spreadsheets arranged, what data you like to capture, and what emails they should respond to. Ask them to manage your blog comments, engage on social media, research topics for content. Ensure that they organise your cloud storage and create a naming convention to safeguard future organising.
Delegate any onboarding and offboarding
If your onboarding is manually completed, delegate this whole process to your VA. And while you’re at it, ask them to write it up into a procedure, or explore what it would look like automated. Do you like to send your clients a gift? Your VA can arrange it. If someone is offboarding, can your VA follow up in regard to a testimonial and then turn it into content? By delegating these processes to your VA, you can ensure that your clients are nurtured while you focus on other parts of your business.
Delegate tasks to setup automation
This is a great way to utilise your VAs time, because you will benefit from this setup in an ongoing capacity.
Ask your VA to create canned email responses, setup autoresponders, setup rules for your emails, setup workflows in your CRM system, schedule your social media, setup a scheduling program, create automate testimonial/ feedback follow ups.Delegate tasks that involve writing
This might not be applicable to all VAs, but if they are happy to, delegate writing tasks to your VA. This might look like writing researching and writing blog posts, newsletters, tweets, articles or social media posts. On top of this, your VA can edit, proofread and format documents that you have already prepared. A lot of VAs are skilled in writing and are happy to write using your brands tone of voice.
Delegate social media and marketing tasks
I mentioned some of these in the items above, but your VA can assist with your marketing in a number of ways. From engagement, content creation and repurposing, to preparing newsletters and feedback forms for clients. Scheduling posts, promoting your business and creating email campaigns.
As you can see, the list of tasks that a Virtual Assistant can be delegated is a long one. These are just 5 areas to get you thinking about how you might be able to free up some time for yourself to do what you do best!
In the last five years, the Virtual Assistant role has grown exponentially, and this is because business owners are realising that their time is more valuable and can be better spent. There’s also a growing movement of entrepreneurs who have built businesses so that they can design lives that are balanced and family oriented, not so they replace 9-5 with 24/7.
I hope that this has helped you to imagine how your life might look with an extra set of hands.
